*Description*: A person who performs work related to personnel management, financial management or procurement. This person is responsible for organizing and planning the execution of complex administrative tasks, such as data collection and analysis.
This job title also includes the person who is responsible for the administrative functioning of a department and who is responsible for the internal and external relations of the department. He/she is responsible for the activities of the department?s office staff.
Must have a college diploma (DEC) in general administration, accounting and management techniques, office automation techniques, or other appropriate college disciplines from a school recognized by the relevant ministry, or a college diploma (DEC) combined with a relevant undergraduate university certificate or a relevant attestation of college studies (AEC) of eight hundred hours or more combined with experience relevant to the field concerned.
This job also includes people who hold a college certificate in administrative techniques.
*Responsibilities:*
* To assist the Executive Director with administrative tasks such as, but not limited to, digital filing, managing emails, communications, agendas, event assistance, room bookings, booking meetings and doing all the necessary preparation for interviews.
* To compile Board presentations, to prepare Board meeting packages and to take Board minutes.
* To be an integral part of an administrative team providing support to Human Resources, Accounting or Clinical as required.
* To record monthly clinical and meal statistics, population reports, and to maintain the visitor log.
* To prepare, code and validate the pay and to perform all relevant related process as per established guidelines.
* To read all provincial communiqués and to advise Human Resources or Accounting when the communiqué is relevant to Elizabeth House.
* To assist with regular communication with vendors regarding supplies and/or invoices.
* To keep inventory of general house supplies and to re-order as required.
* To be an information Technology support to all staff as needed.
* To perform all other related duties as requested by the immediate supervisor.
*Requirements:*
* A college diploma (DEC) in general administration, accounting and management techniques, office techniques or other appropriate college discipline of a school recognized by the relevant ministry.
* Must be bilingual, French and English, both oral and written.
* Must be willing to work flexible hours as required.
* Must have a strong willingness to learn administrative procedures.
* Must be detail orientated.
* Must have excellent organizational skills and be able to work within set deadlines.
* Must have the capacity to write reports in a professional manner.
* Must have excellent computer skills, with excellent knowledge of Word, Excel and PowerPoint.
* Experience with complex computer programs such as Canva and LGI Solutions would be considered an asset.
* Must have previous experience in a culturally diverse milieu with demonstrated sensitivity and openness to cultural differences.
* Must have demonstrated ability to work collaboratively as part of a team.
*NOTE*: Testing will take place as part of the interview process.
