*Overview*
Bump Physio & Co. is a boutique physiotherapy brand dedicated to empowering the lives of women through health. We are seeking a highly organized and motivated Executive Assistant to join our dynamic team and support leadership in managing day-to-day operations and achieving business goals.
The Executive Assistant will provide high-level administrative support to the CEO, Clinical Team Lead and other leadership team members, ensuring smooth and efficient operations within the clinic.
*Duties*
* Overseeing, maintaining and updating clinical, admin and management team schedules as needed (shift changes, vacations, sick day tracking, new team members etc.)
* Handles incoming communications via email and Slack ensuring timely responses and follow-ups.
* Prepare reports, presentations, and documents for executive meetings and team needs.Support human resources functions for the team including scheduling, onboarding and offboarding of new employees, and maintaining employee records.
* Inventory and supplies: Managing, sourcing and procuring clinic inventory, supplies, running errands for all Bump locations.
* Assist with basic bookkeeping, invoicing, and expense tracking including e-transfers, budgets, uploading receipts to Dext as required.
* Supports the Clinical Operations Manager with Coordinating billing and payment processing with clients and vendors as needed.
* Assists with payroll when needed.
* Organize and manage special projects, events, or initiatives led by the leadership team.
* Maintain confidentiality regarding sensitive information and exercise discretion in all interactions.
*Requirements*
EXPERIENCE: Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role. Basic bookkeeping knowledge and experience working in a clinical setting preferred.
EXTREMELY ORGANIZED: Excellent organizational and time-management skills.
ANTICIPATES NEEDS: Utilizes analytical skills and a broad understanding of the business to effectively interpret needs.
LOYAL: You share in the long-term mission, vision and values of Bump Physio & Co, and want to grow with the organization.
ORGANIZED: You must be able to navigate multiple tasks and projects at the same time, efficiently and in a systematic way.
COMMUNICATION IS KEY! You have a way with words and people and can navigate any situation and make anyone feel supported and heard with just a few words.
ADMIN SKILLS: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.

Job Types: Full-time, Permanent
Pay: $55,000.00-$70,000.00 per year
