WellFort Community Health Services is an innovative community health centre that is embarking on a transformational change to support the population through integrated care services across interprofessional primary care models.? We are hiring multiple roles that focus on a number of patient populations across all age spans including within a new neighbourhood primary care network of 7 primary care practices, homeless shelters and community locations serving people experiencing homelessness and our hub locations in Malton and Bramalea.? Multiple roles (contract and permanent) and multiple FTE?s are being recruited for.? Work in all roles could be across any program among multiple sites within the Central West Ontario Health Team geography.? WellFort Community Health Services is seeking a dedicated and compassionate Medical Office Assistant (MOA) to join our interprofessional team.
As an integral interdisciplinary team member of WellFort the MOA provides administrative and logistical support to the Clinical Team to ensure effective and efficient service delivery of all program components provided by WellFort.?
This position requires flexibility in hours of work to support accessible program service delivery and the centres hours of operation. As such the position entails some evening and weekend work.?
*RESPONSIBILITIES *
* Respond to telephone and email inquiries regarding programs, services, and activities.
* Handle all reception duties for WellFort programs at the locations, ensuring adequate coverage based on operational hours and service needs.
* Greet clients warmly and maintain a welcoming, calm, and non-judgmental environment.
* Manage a busy waiting room, ensuring smooth operation of same-day and appointment-based services, and attend to clients' needs.
* Schedule appointments, book referrals, and download results.
* Perform general intake and pre-assessment of clients registering for programs and services.
* Ensure client information is accurate and up-to-date in the Electronic Health Record (EHR).
* Provide administrative and logistical support, including photocopying, faxing, form creation, and maintaining contact and referral lists.
* Perform general office duties such as scanning, creating provider schedules, and data collection.
* Ensure that office equipment is well maintained and in good working order.
* Collaborate with the Centre?s larger administrative team to ensure consistency in administrative applications.
* Support program planning, development, and implementation by creating effective administrative systems.
* Perform tasks related to panel management, track cycle times, and supply and demand.
* Coordinate the ordering of program resources and supplies.
* Assist with other related duties as assigned, including larger Community Health Centre (CHC) functions such as the Annual General Meeting (AGM).
* Works with community members, staff, and partners to identify issues and develop projects and advocacy strategies??
* Joins relevant professional groups to maintain professional linkages and support.?
* Participates in research when opportunities arise.?
* Other duties and responsibilities as may be assigned from time to time.??
*QUALIFICATIONS, EXPERIENCE & SKILLS *
* Relevant knowledge and experience attained through graduation from a recognized College/University in Medical Office Administration or a related field.??
* A minimum of two years experience in a similar position preferably in the Community Health Centre or Social Services Sector.?
* Sensitivity to and awareness of cultural, racial, economic, and socially diverse communities.
* Proven customer service skills with a strong focus on client
