POSITION FUNCTION: Responsible for operating and updating the Canadian Police Information Centre (CPIC) system for both internal and external agencies and in obtaining information through the provincial justice and corrections systems to support police operations. Prioritize requests based on priorities governed by department and provincial procedures and policies, CPIC guidelines and privacy legislation. Perform quality control on all CPIC entries made on behalf of the department while acting as a key resource for departmental CPIC Audits. KEY DUTIES: Gather, assess and verify information from various sources and databases that supports the entry, update and removal of investigative and intelligence information, such as court orders, persons, vehicles and property from the Canadian Police Information Centre (CPIC) while adhering to legislative requirements and CPIC policy. Prioritize and update the Provincial Records Information Management Environment (PRIME) regarding all CPIC transactions; embed and attach queries, entries, modifications and removals to the police report within the PRIME system for investigative and auditing purposes; collate and maintain both hardcopy and electronic files. Create Records Management System (RMS) reports for juridical partners without CPIC access to manage and maintain third party CPIC entries. Compose, send, distribute and follow up on CPIC narrative messaging, off-line searches and broadcasts. Assist officers with investigations by conducting queries and obtaining court and sentencing information through the Provincial justice and correction systems. Assist the Court Liaison officer in conducting queries from police databases to help locate individuals for DNA orders. Liaise and research data information through PRIME, Court, Probation, and Corrections Canada to ensure accurate charges and court information is received and entered for police encounters and prosecution; provide criminal record information to Crown and Courts as required; enter Provincial and Canada-wide Warrants, Undertakings, Probations and Prohibitions on CPIC for action to be taken by police officers; enter terms of probation, prohibitions and Orders and update records as directed by the Courts. Provide training and assist staff in the use and operation of the CPIC system; update staff on system changes; maintain and update CPIC training and procedure manuals and assist with related procedure and policy updates and development act as key operator for CPIC system problems and maintenance. Audit all departmental CPIC entries. Liaise with Crown Counsel and Court Registry staff to verify accuracy of court documentation, warrant cancellations and procedures. Conduct queries and provide background information regarding outstanding warrants and requests for warrant radius extensions to assist Crown Counsel in the decision to return suspects back to the province; conduct queries and remove entries pertaining to deceased individuals. Review, follow up troubleshoot and rectify discrepancies, inconsistencies and/or outstanding information related to CPIC files. Request and conduct monthly quality assurance from the ACL, Validation and Purge reports to verify and validate all entries made to the CPIC database are accurate.
