*Overview*
We are seeking an experienced Administrative Manager to join our team! This role is essential in providing administrative support across various departments, ensuring that operations run smoothly and efficiently. The ideal candidate will possess strong communication skills, a knack for organization, operations experience such as process improvement and project management. This role will require the ability to manage multiple tasks simultaneously and operate efficiently in a fast-paced environment.
*Duties*
* Manage real estate listings, closings and leads from beginning to end.
* Provide clerical support, including filing documents and maintaining organized records.
* Proof-read documents to ensure clarity and correctness.
* Handle customer inquiries via phone and email, demonstrating excellent phone etiquette.
* Maintain and help develop our operational procedures using modern project management software.
* Utilize Google Suite for document creation, spreadsheets, and presentations.
* Manage and nurture leads through our CRM.
* Create listing packages for clients with high attention to detail.
* Organize and manage leads across multiple communication channels.
* Coordinate schedules and manage appointments for team members.
* Maintain office supplies inventory and assist with ordering when necessary.
* Support various administrative tasks as assigned by management.
*Qualifications*
* 8-9+ years experience in similar role.
* University Degree not require, but is an asset.
* Experience with process improvement and/or management an asset.
* Real estate experience is a strong asset.
* Proven experience in an administrative role or similar position is preferred.
* Proficiency in data entry and clerical tasks with a strong attention to detail.
* Familiarity with Google Suite applications (Docs, Sheets, Drive) is essential.
* Experience using CRMs to mange leads and communications
* Experience using design programs such as Canva.
* Excellent phone etiquette and customer support skills are required.
* Strong organizational skills with the ability to prioritize tasks effectively.
* Ability to work independently as well as part of a team in a fast-paced environment.
* Ability to manage people effectively.
* A proactive approach to problem-solving and willingness to learn new skills.
* Quick-learner and able to adapt to rapidly shifting environments
