Anchoridge Counselling Services is a private practice in the London, Kitchener/Waterloo, Milton, and Oakville region. We are seeking an Administrative Assistant to join our team.
We are looking for a dedicated individual that has an avid interest in mental health and helping individuals on a daily basis. We are looking for someone who is enthusiastic, energetic, outgoing, flexible, and detail-oriented to manage our front desk and to perform a variety of administrative and clerical tasks. A successful candidate must be passionate about growing with the practice and taking on new challenges as they arise.
This position includes but is not limited to the following:
* Receiving visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately
* Responding in a professional manner to clients inquiries - both over the phone and through email
* Scheduling clients appointments
* Collecting payments
* Insurance verification
* Preparing and maintaining client files, paperwork and meeting notes, and managing/updating client databases.
* Working with a team of admins from other locations (Oakville and London) and coordinating on projects/tasks assigned by the admin coordinator or clinical director
* Common workplace cleaning
*Requirements:*
* *Previous experience as an Administrative Assistant or in a related field is an asset*
* *Experience in the mental health field*
* Excellent communication and customer service skills
* The candidate must be very organized
* The candidate must be able to multi-task
* The candidate must be able to handle multiple tasks efficiently and is a very detail-oriented individual
* A high level of computer skills is a necessity; including Microsoft Office, Excel, etc.
*Expectations:*
* Be able to greet clients with empathy and warmth
* Be an effective *team player* and flexible in adjusting to changing work environments.
* Participate fully as a member of the team and contribute to a positive work environment.
* Keep others in the immediate team informed and up to date about the status/progress of projects, and all relevant or useful information related to day-to-day activities.
*Hours:*
Fixed Contract Term: 25-40 hours a week
Starting October 28th- November 15th
This position can potentially transition to a part-time/on-call Admin for the London location after the contract ends.
Monday-Thursday: 12:00-8:00 pm
Friday: 9:00 am- 4:00 pm
