*Overview:*
The Manager of Operations will lead key aspects of Durham Outlooks for the Needy?s (DOFN) day-to-day operations, financial management, and driving our mission to provide nutritious meals in a safe and family-friendly community where all are welcome. This role requires an organized and motivated individual who can handle a range of responsibilities, including overseeing operations, ensuring financial stability, managing staff. All staff members will report to this position. The manager will work closely with the Board of Directors to implement initiatives that align with the organization?s vision and strategic goals.
*Qualifications*
* 5 to 7 years of experience in a senior leadership position, preferably in the non-profit sector.
* Minimum 3 years of experience with bookkeeping and familiarity with QuickBooks.
* Strong interpersonal and communication skills, with experience in volunteer or staff supervision.
* Certified Food Handler, with knowledge of food safety regulations.
*Responsibilities*
*Operational & Organizational Management*
* Lead the organization?s daily operations, ensuring efficiency and alignment with our mission.
* Develop and implement operational practices and protocols that enhance service, community outreach, and program sustainability.
* Manage the facility by overseeing building maintenance, health and safety protocols, and inventory management.
* Manage and support staff fostering a collaborative work environment.
* Ensure the thrift store is appropriately supplied with seasonal wear and other necessities.
* Manage the donations that come into the kitchen and determine if the donations need to be re-distributed to other organizations.
* Manage the food bank's inventory to ensure it remains well-stocked, carefully rationing supplies during slower donation periods to maintain a consistent year-round supply.
* Identify and evaluate opportunities for innovation and improvement within operational systems, ensuring the organization remains adaptable and responsive to evolving community.
*Financial Management*
* Oversee budget planning and financial management, ensuring that resources are used efficiently and responsibly.
* Work with the Treasurer to manage and report on financial activities, including payroll, tax filings, and government documentation (e.g., HST rebates, WSIB reports).
* Ensure accurate record-keeping in QuickBooks, providing transparency and compliance with financial policies.
* Support annual audits, collaborating with external auditors as needed.
*Community Engagement and Public Relations*
* Serve as an ambassador for DOFN, representing the organization when working with volunteers, donors and other stakeholders.
* Build and maintain partnerships with local organizations, agencies, and stakeholders to amplify our impact.
* Work with the staff to oversee communications, including social media updates, newsletters, and donor communications.
*Reporting*
* Prepare regular reports for the Board of Directors, detailing operational progress, financial health, and fundraising outcomes.
* Ensure compliance with relevant laws, regulations, and best practices in non-profit management.
* Maintain accurate and organized records, including essential documents for governance, insurance, and regulatory requirements.
* All staff members will report to the Manager of Operations. Complete annual reviews for all employees and propose annual pay increases accordingly.
*Compensation: *
* The Manager of Operations will be compensated at a salary between $60,000 and $65,000 commensurate with experience.
* The employee will be added to the benefits plan subject to completing the six-month probationary period.
