This position is a part-time position, 28 hours per week In alignment with the Chamber?s Strategic and Tactical Plan, the primary purposes of this position are to:
1) organize and coordinate office administration and procedures
2) ensure organizational effectiveness, efficiency and safety
3) perform light bookkeeping tasks, perform accurate record-keeping, perform inventory control
Primary Responsibilities:
1) Financial
-light bookkeeping duties including sponsorships, event ticket invoicing and reconciliation, financial aspects of fundraising, credit card processing
2) Administrative
-Organizational Filing and Documents
-Ensure that the annual filing is performed each year
-Ensure that the Board of Directors Insurance is processed each year
-Oversee the administration of the office
-Support maintenance of Membership CRM
-Address day to day correspondence
-Manage office supplies and equipment
-Prepare proposals and provide administration for contract programs as needed
-Maintain and manage contracts with tenants, under the guidance of the Executive Director
-Oversee general maintenance of the building
3) Community Relations
-Promotion of the Cranbrook Chamber of Commerce, its members, and our programs
-Attend Chamber events
-Assist Membership and Events Coordinator as needed in organizing meetings and events
4) Project and Event Support
-Supports the Chamber Team with duties related to events, fundraising, sponsorship and programming
Qualifications:
1) Educational Requirements
-Office Administration Program or equivalent
-Experience with Sage 50 Pro Accounting an asset
2) Preferred Competencies
-Previous experience with CRM
-Minimum of 3 years experience in office environment
-Experience with Budgeting
-Experience with Inventory Control and Supply Management
-Experience with Microsoft Office, Canva, Eventbrite, Graphic design
3) Knowledge & Skill Requirements
-Valid Class 5 BC Driver?s license and use of personal vehicle is required
-Solid understanding and demonstration of relationship building techniques
-Exceptional communication skills for telephone, public relations, written communications
-Effective and Motivated Team Player
-Ability to take initiative and works well independently with minimal supervision
-Is accountable and takes ownership of their success and challenges in the workplace
-Displays respectful conduct with other team members
-works collaboratively with staff and members on special projects
-Asks for assistance when needed
-Ability to problem solve, prioritize, adapt and make sound decisions
-Skilled at planning, monitoring and implementing best practices for Office Administration
-Skilled at time management
-Attention to detail and accuracy
-Strong professional and personal integrity
Job Types: Part-time, Permanent
Pay: $25.00 per hour
